    David, thank you for a very interesting interview – especially the segment about our constant flow of incoming emails. I really sympathize with the feeling of slight horror as we extrapolate the growth of numbers of emails a few years into the future. As I see it, now is a splendid time to build better strategies around this, for each and everyone of us. My take on the email problem is: first, we need to see “processing emails” as a task among others that have to do on an average workday. That is, we need to acknowledge that it takes time and that is how it should be. I mean, some see emails almost as distractions to get rid of before they focus on “what’s really important”.

    So, we need to prioritize and do that by asking ourselves: “Is it really critical that I [ answer to this email / do this task], or could someone else just as well do that?” instead of “Who is the most capable to [answer to / do] this?”. By identifying all those tasks that are not dependent on us doing them, we find a basis for outsourcing these to a virtual assistant, to an employee or the equivalent. I hired an assistant on an hourly basis a couple of years ago and as my business has grown, I have delegated more and more tasks to her. Now I use her services twice as much as initially.

    Finally, here’s my three best tips on how to improve my processing of emails:
    – Reuse text snippets from previously emails to avoid inventing the wheel over and over. Over time, build a database of recurring answers, sentences and explanations.
    – Decide on a time frame within which I feel content if manage to reply to the received email. People get used to our “tempo”, so we can decide ourselves what is a reasonable time frame. This instead of having a constant bad conscience.
    – Designate time slots during the day when we process emails, so that we can calmly focus on other tasks inbetween. If the majority of our tasks consists of emailing, let’s designate email-free hours instead.

    There is a lot more to say about emailing and how to write distinct emails in order to lessen the amount received, but I guess this comment is far too long already.
